Minimum Qualifications:

Bachelor's degree and a minimum of 10 years progressively responsible experience in development services and 5 years of administrative leadership, supervisory, and management experience at a director or related level.

Preferred Qualifications:

Master's degree and 10 years leadership experience in development services in an academic healthcare setting.

Job Summary:

Responsible for administering, developing, maintaining and advancing the infrastructure of systems (including business operations, communications, alumni, development services, such as gift processing and endowment compliance) that will support the robust development programs in place at UTMB.  Areas of responsibility include Development Office budget and business administration, gift and endowment compliance, internal and external gift reporting, research, endowment reporting and tracking, and management of administration and development services staff.

Job Duties:

  • Manages all Development Office administration and personnel functions, which include policy and procedure development and interpretation. Handles documents and forms required for departmental recruitment, interviewing, hiring, and performance evaluations.  Identifies appropriate internal controls for the department and provides mechanisms to monitor and enforce compliance. Serves as counsel to the Vice President and Chief Development Officer and other Development Office leadership on related matters as needed.
  • Serves as chief financial officer for the Development Office to include responsibility for all aspects of budget and its related systems and reports.  Develops and manages department budgets, guides development leadership in the management of the area’s budgets, develops processes, procedures, and ongoing analysis of department budget and leads development services staff in the effective and efficient handling of all related accounts payables and receivables. 
  • Provides leadership and direction by managing workflow; leading team meetings; assigning projects, and providing opportunities for professional development and handling all personnel matters. 
  • Responsible for the development and implementation of systems, policies, procedures, and internal controls to ensure the use of good business practices and compliance with institution and UT System regulations and industry/professional standards for Development Office and UTMB gift and pledge acceptance, receipting, reporting, stewarding and monitoring of expenditures.  Develops and implements mechanisms to monitor, report and enforce compliance. Serves as university liaison to UTMB entities for all aspects of gift and endowment compliance. 
  • Represents Development department interests on the UTMB Endowment Compliance Committee, manages endowment creation in coordination with UT System and ensures the monitoring, notification, reporting, and stewarding of endowments. 
  • Oversees the management of the stewardship program for donors and volunteers that provides high-quality interactions with UTMB that foster long-term engagement and investment.  Stewardship activities include gift receipting and acknowledgement, recognition, reports of use of gift funds, endowment investment reports, and other communications or events that are of donor interest. 
  • Oversees the management of the prospect research and portfolio management program, providing guidelines and standards as well as the analytic reports, tools and resources for research staff to create a pipeline of high-quality prospects for fundraising staff.
  • Develops and implements related policies and procedures, reports standards and formats to be used to report fundraising statistics for development and campaign activity for the institution, schools/units, and campaigns to internal and external audiences.  Responsible for working with various university and Development Office stakeholders to generate routine and ad hoc reports and other database products as required and requested.  Ensures the integrity of data, reports and donor records that provide a complete and accurate history of a constituent’s relationship with UTMB.
  • Ensures the completion of large-scale data manipulations, program development, maintenance and upgrades of the technology and databases that support the university’s development efforts. As needed, identifies and works with outside vendors to implement/enhance systems to meet UTMB and Development Office needs.  This includes but is not limited to establishing mechanisms/contracts to update key constituent information, providing online giving and e-marketing functions, routine database management, and development. Ensures routine database system maintenance is conducted such as back-ups and database verifications.
  • Serves as departmental liaison to the Office of the President, Executive Vice Presidents, and other executive management.  Represents the Vice President and Chief Development Officer in all matters of departmental and university business as needed.
  • Adheres to internal controls and reporting structure and ensures compliance with financial audit procedures.
  • Performs related duties as assigned.

 

Knowledge/Skills/Abilities:

  • Advanced knowledge and experience in processing of philanthropic gifts including adherence to CASE, CAE and UT System standards of practice, understanding of tax laws related to charitable giving, reconciliation of gift accounts/funds and ensuring that funds are managed according to donor intent. 
  • In-depth knowledge of endowment tracking, stewardship and endowment compliance issues and resolutions.
  • Advanced knowledge of Raiser’s Edge donor database. Ability to extract and analyze data, develop reporting standards and structures, enhance database performance and provide systematic methods of improving data quality. Understanding of technical aspects of e-marketing, online giving and integration with donor records.
  • Extensive background in the management of prospect research and fundraiser portfolios in support of major campaigns. 
  • Experience in developing and implementing stewardship programs for donors.
  • Experience in preparing and managing operating and capital budgets and systems for internal operations in addition to knowledge of institutional gifts and awards practices.
  • Ability to plan, organize, set and accomplish goals through multi-tasking assignments and delegation of tasks. 
  • Ability to organize and present data concisely.
  • Excellent communication skills, both oral and written.
  • Demonstrated record of leadership ability and accomplishment.
  • Candidate should possess sophisticated interpersonal skills, excellent listening, written and oral communication skills, initiative, and a high level of energy.
  • Strong knowledge of financial applications and processes
  • Effective problem-solving skills.

 

Salary Range:

Actual salary commensurate with experience.
