Minimum Qualifications:

Associate’s degree or equivalent and 2 years of office related experience.

 

Preferred Qualifications:

  • Knowledge and experience working with Excel spreadsheets.

  • Familiar with Microsoft Office products and PeopleSoft

  • Relevant UTMB experience.

 

Job Summary:

To manage, coordinate, and directly support the administrative and business management, and/or staff activities within a Process/Department.

(Ability to perform tasks and responsibilities on own initiative, ensuring process and operational continuity of various administrative and business management activities.)

 

Job Duties:

  • Serve as the primary liaison for the Konica Minolta refresh initiative across all UTMB campuses and departments.

  • Coordinate with IT Services, vendor(s), and customer departments to ensure seamless deployment, installation, and transition of Konica Minolta devices.

  • Develop and manage project timelines, ensuring alignment with institutional service level agreements and deadlines.

  • Collaborate with Konica Minolta representatives and internal procurement teams to manage contracts, service agreements, and equipment delivery schedules.

  • Maintain and update documentation related to the equipment refresh process, including workflows, asset tracking, and service protocols.

  • Interacts with customers toward effective problem resolution and assists with questions regarding policies, procedures, and operations.

  • Identify potential risks to timelines or service delivery and develop mitigation strategies.

  • Ensure that business continuity is maintained during equipment transitions, minimizing disruption to end users.

  • Must demonstrate ability to work with all levels of management and staff.

  • Assists in the development of budgets within IT Services and IT Service Center areas.

  • Monitors the status of budgets, including income and expenditures.

  • Identifies variances in expenditures and reports to customers as appropriate.

  • Maintains detailed reports and records of data.

  • Assists in the preparation of detailed financial, statistical, and annual reports.

  • Assists in the preparation of comparative analysis reports and statements reflecting variations in the expenditures and revenues.

  • Process requisitions for routine, non-routine, and capital equipment purchases in accordance with current UTMB procurement rules and guidelines.

  • Creates, maintains, and manipulates databases and spreadsheets.

  • Initiates action plans to develop skills and knowledge to stay current with evolving office technologies & work demands.

  • Schedules, coordinates, and organizes appointments, meetings, and rooms.

  • Serves as liaison with other departments regarding inventory control, equipment and maintenance repair, purchasing, and other administrative matters.

  • Contributes ideas and suggestions for improvements to processes.

  • Adheres to internal controls and reporting structure.

  • Supports the department by performing all other duties as assigned.

 

Knowledge/Skills/Abilities:

  • Must be able to think independently and make decisions as necessary.

  • Ability to analyze and identify the need to adjust procedures for improved efficiency.

  • Must be organized and detail-oriented.

  • Must be able to partner and communicate with all levels of management and staff.

 

Salary Range:

Actual salary commensurate with experience.

 

Work Schedule:

Partial Remote, on-site as needed. Monday through Friday, 8 am to 5 pm, and as needed on occasion.
