Student Assistant, School of Medicine Associate Dean-Student Affairs
Job Summary:
The UTMB John Sealy School of Medicine is seeking a motivated and detail-oriented Student Assistant currently enrolled in, or accepted to begin a graduate level program - to serve as a residence coordinator and support the administrative and coordination tasks of the Joint Admission Medical Program (JAMP). This role involves supervising premedical students in a four-week summer enrichment program, enforcing program policies, and fostering a community conducive to student success. This position upholds UTMB’s core values and professionalism while collaborating closely with program staff to ensure the program’s success and support its participants.
Job Duties:
- Housing Management:
- Reside onsite and be available 24/7 Monday thru Friday, and available for weekend summer enrichment activities on/off campus.
- In conjunction with the Texas A&M University-Galveston Housing Director, coordinate check-in/check-out procedures, opening and closing of residence halls at the start and end of JAMP summer intern program, room changes, accommodation request, and any related room assignment issues.
- Distribute housing information packets and guidelines, including check-in/check-out instructions, emergency contacts, and housing policies.
- Partner with housing provider to ensure housing meets all necessary standards and is available for the duration of the summer internship program.
- Assist with COVID-19 quarantine and isolation procedures and follow up.
- Enforce residence hall policies and serve as the primary point of contact for housing-related inquiries, ensuring clear and timely communication to interns and staff.
- Program Coordination:
- Collaborate with the JAMP Medical School Coordinator to plan and execute events, workshops, seminars, social activities, and enrichment programs, fostering student participation.
- Assist with other duties as assigned through the Office of Admission & Recruitment (e.g., Orientation, Admission related events, etc.).
- Communication:
- Record and report issues related to housing, transportation or inappropriate student behavior to the JAMP Medical School Coordinator.
- Update and manage content on the JAMP YAPP application and relevant social media platforms.
Marginal or Periodic Functions:
Performs related duties as required.
REQUIRED EDUCATION/EXPERIENCE:
- Currently enrolled in, or accepted to begin an accredited graduate-level program, preferably in a field related to healthcare, education, or administration.
- Strong organizational, conflict resolution, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and social media applications.
- Ability to work independently and as part of a team.
- Attention to detail and a proactive approach to problem-solving.
Preferred Qualifications:
- JAMP undergraduate scholar
- On-campus living experience.
- Experience with event planning and coordination.
- Familiarity with social media management and content creation.
EQUIPMENT:
Standard office equipment.
WORKING ENVIRONMENT/LOCATION OF POSITION:
Reside at residence with students, and standard office environment.
Salary Range:
Commensurate with experience.
